These terms govern use of OctBooks, provided by OCY SERVICE LTD (“we”, “us”), company number 10019391, registered office 28 Morefields, Tring, England, HP23 5EU. By creating an account you accept them. If you are accepting on behalf of a business, you confirm you are authorised to do so.
OctBooks is a double-entry bookkeeping platform: a chart of accounts, invoicing, bank reconciliation, Making Tax Digital VAT filing, reporting and the billing that keeps your subscription running. It generates a chart of accounts suited to your legal form and sector rather than a generic list, and an accountant you invite can have their own login into the same books.
You are responsible for the accuracy of what you enter or import, and for reviewing anything the service suggests before it affects a filing. Connecting a bank account, a mailbox, or authorising a VAT filing are all actions you take deliberately, and we act only on that instruction — we do not file or submit anything to HMRC, your bank, or any other third party without it.
Each business’s books are kept separate from every other business’s. Staff with support access can view a business’s data to help with a support request; every such access is logged and the log is available on request.
Bank data comes through Yapily under open banking consent you give directly; VAT returns are filed through HMRC’s Making Tax Digital service; company lookups use the UK Companies House public register; billing is handled by Stripe; email is sent through Postmark; an optional mailbox connection uses Microsoft’s own sign-in. Each of those providers has its own terms governing the part of the service it performs, and an outage or policy change on their side can affect the corresponding feature here.
OctBooks can suggest how a bank transaction should be categorised, using an AI model. These are suggestions, not advice, and not a substitute for your own or your accountant’s judgement. By default a person reviews every suggestion before it reaches your ledger. You may opt in to let high-confidence, low-value suggestions post automatically; doing so is your decision, entries posted this way are always marked as machine-posted, and you remain responsible for reviewing your books and for the accuracy of anything ultimately filed with HMRC.
[State the actual trial terms, plan prices, billing cycle and cancellation/refund policy here — confirm current pricing and trial behaviour before publishing, since these change.] Payment is processed by Stripe; we do not store your card details.
You will not use the service to submit information you know to be false to HMRC or any other authority, attempt to access another business’s books, or interfere with the service’s operation. We may suspend an account that does.
[This section needs drafting with counsel — it should state what OctBooks is and is not liable for, including around AI-generated suggestions, third-party outages (HMRC, Yapily, Stripe, etc.), and the limits of any liability cap, consistent with UK consumer and business protection law as applicable to your customers.]
You may close your account at any time. [State what happens to the data afterwards — export window, deletion timeline — consistent with the retention periods in the Privacy Policy.]
If we change these terms materially, we will say so here and update the date above.
These terms are governed by the law of England and Wales.
